Overview:

We are seeking a highly organized and detail-oriented Administrative Coordinator with proficiency in both English and Spanish to join our dynamic team. The incumbent will provide vital support to the Project Lead and administrative assistance to the Project Team. This includes the Communications Manager, Project Coordinator, and OCASI staff. The role is committed to decoloniality, equity, anti-racism, and anti-oppression principles.

What will the Administrative Coordinator do?
Administrative Support:
●     Manage and coordinate day-to-day administrative tasks, including scheduling meetings, handling phone calls, and responding to emails in both English and Spanish.

●     Prepare and distribute internal and external correspondence, reports, and documents.
Document Management:
●     Maintain organized and up-to-date records, databases, and filing systems in both languages.

●     Assist in the creation and translation of documents as needed.
Meeting Coordination:
●     Schedule and coordinate meetings, conferences, and events, ensuring all necessary arrangements are in place.

●     Provide language support during meetings, as required.
Travel Arrangements:
●     Assist in coordinating travel arrangements for team members, including booking flights, hotels, and transportation.
Data Entry and Reporting:
●     Input and update data accurately in databases and systems.

●     Generate reports and assist in data analysis as needed.
Customer Service:
●     Address inquiries and provide information to clients, partners, and internal staff in a professional and courteous manner in both English and Spanish.
Team Collaboration:
●     Collaborate with team members to support cross-functional projects and initiatives.

●     Foster a positive and inclusive work environment.

●     Translate written and verbal communications to facilitate effective understanding and collaboration.

Qualifications

●     Relevant post-secondary diploma or degree (e.g. Business Administration, Accounting, Office Administration, Social Sciences, or the equivalent acceptable combination of education and experience

●     Fluency in both English and Spanish (written and verbal) is essential.

●     Minimum of 3 years of experience working as a coordinator.

●     Excellent organizational and multitasking skills.

●     Proficient in Google Suite and Microsoft Office (Word, Excel, PowerPoint, Outlook).

●     Detail-oriented with a high level of accuracy.

●     Ability to work independently and collaboratively in a fast-paced environment.

Details: ●     Salary is $52,501 plus benefits, unionized with UNIFOR Local 87M ●     Job-type: full-time position based on 35 hours per week (Mon- Fri) ●     Currently a Hybrid schedule with in person attendance at the Toronto office (1 day / week)
