Executive Coordinator, Supporting the Executive Director

About the Role

Environmental Defence Canada (EDC) works with government, industry and individuals to enable lasting environmental change. EDC is looking for an Executive Coordinator, Supporting the Executive Director who can anticipate and meet the needs of a dynamic environment. This is a full-time position with an excellent benefits package, 4 weeks vacation, employee and family assistance plan, half-day Fridays during the summer months, and an RRSP matching program. The salary for this role is $60-70K based on experience. This role will be reporting to the Executive Director.

Purpose of the Role

The Executive Coordinator is responsible for providing comprehensive support to the ED, the Board of Directors, and the Management Team. This dynamic position requires the ability to anticipate needs, think critically, develop content, execute tasks with precision and accuracy and offer solutions to problems with a high level of professionalism and confidentiality.

Primary Responsibilities

Complete a broad variety of administrative tasks that facilitate the ED’s ability to effectively lead the organization, including: assisting with or leading special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties, including government officials; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.

 

Coordinate all Management Team meetings and retreats and assist with staff meetings and events as needed.

Provide “gatekeeper” and “gateway” role, providing a bridge for smooth communication between the ED and staff, demonstrating leadership to maintain credibility, trust, and support with the Management Team. Complete projects by assigning work to appropriate staff, including the Management Team, on behalf of the ED.

Work with the Management Team to coordinate ED’s outreach activities. Follow up on contacts made by the ED to cultivate ongoing relationships. line and respond to inquiries.

Provide sophisticated calendar management for the Executive Director. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.

Act as a liaison and provide support to the Board of Directors. Arrange and handle all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes on behalf of the Board Secretary. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.

Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the ED, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect ED’s style and organizational policy.

Work closely with the ED to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Anticipate ED’s needs in advance of meetings, conferences, etc.

 

Qualifications/Experience Successful Candidates will possess:

  • Significant executive support or program coordination experience.
  • Ability to design and edit graphic presentations and materials.
  • Strong verbal and written communication skills.
  • Basic understanding of the political systems in Canada
  • Exceptional organizational skills and impeccable attention to detail.
  • Expert proficiency with Microsoft Office suite, G Suite, and Zoom.
  • High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, donors, and partners.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Ability to maintain a high level of integrity and discretion in handling confidential information.

Location

This role will be a hybrid role with 2-3 days/week in the Toronto office.
