Overview

The Marketing and Communications Coordinator plays an essential, supporting role in maintaining the quality and effectiveness of Artscape’s marketing and communications activities, and in supporting colleagues enterprise-wide on shared projects and initiatives. This role applies critical thinking, specialized knowledge and a client focus to tasks, which include, but are not limited to: social media content creation and curation, monitoring and reporting; digital marketing and promotions; website content creation and maintenance; and departmental organization and administration. This role works with staff members across multiple departments at head office and with Artscape properties (hubs) across the organization to help them understand and apply marketing and communications policies and procedures.

RESPONSIBILITIES:

Communications and Marketing

  • Using excellent writing skills demonstrating mastery of tone and style, supports Communications Manager with writing and/or editing of blog posts, marketing messages and other content, as needed
  • Posts content for all organizational blogs in a timely manner and works with designer to ensure imagery and layout is on-brand
  • Applies specialized knowledge of marketing best practices, including audience targeting, etc.  as well as and strong understanding of Adobe In Design and other digital marketing platforms, to design content for email marketing campaigns (newsletters, invitations, etc.) and prepares, schedules, distributes and measures campaign effectiveness
  • Creates digital graphics materials, such as digital ads and graphics for email campaigns/blog posts and video / motion graphics, as needed
  • Coordinates the content collection, layout and distribution of an internal digital newsletter and ensures timely distribution; applying marketing best practice to ensuring stakeholder engagement and growth of open and CTR rates
  • Provides support to the development of an integrated marketing and communications editorial calendar and assists with fulfillment of objectives
  • Responsible for email list management, providing regular updates to internal and external distribution lists are updated and accurate and compliant with CASL regulations
  • In coordination with Communications and marketing team and cross-departmental staff, measures and reports on promotional and social media campaigns and activities for Artscape initiatives
  • Supports public relations (PR) activities through researching relevant media influencers, monitoring media mentions (Meltwater platform), tracking digital/print media clippings and measuring performance
  • Provides organizational administrative support through HR social postings, updating internal communications documents
  • Acts as gatekeeper for all digital and print marketing creative requests, working with all departments and design function to vet and support their Marcom needs. Tracks all creative requests
  • In consultation with other Artscape teams, monitors performance of all Google AdWords campaigns

Social Media

  • In consultation with Marcom Director, plans and executes content strategy on all social media channels (Twitter, Facebook, Instagram, LinkedIn, etc.) for Artscape head office and liaises with and supports Artscape hub staff to maintain content, activity and engagement on hub social media channels
  • Develops and manages social media content calendar and drafts social content (text/images/graphics) according to accepted standards & best practices; ensuring accuracy through fact-checking and proofreading of social posts
  • With support from Marcom Director, develops social media campaign strategies and coordinates deployment
  • Conducts administration for social media accounts; and stays abreast of trends and updates to social media platforms, applying best practices
  • Maintains Artscape’s social media guidelines and provides guidance and support to hub content managers, sharing knowledge of social media best practices
  • Liaises with other departments to schedule and fulfill sponsor recognition on social and digital platforms, delivering on stakeholder expectations and achieving excellence in client/partner service
  • In coordination with Creative and Design lead, creates engaging digital imagery and graphics for social media, such as infographics, mini video clips
  • In coordination with other staff teams, tracks, measures, analyzes data and reports on the success of all social media campaigns and activity on a monthly basis, using Google analytics, Meltwater Engage and other reporting tools

 Admin Support

  • Applies solid knowledge of basic HTML and WordPress content management platforms to perform content updates and build basic web pages on Artscape websites, as needed; coordinates content acquisition, as needed; participates in website development projects (i.e. collects user feedback, adds metadata to pages, assists in debugging processes)
  • Coordinates Artscape web maintenance service agreement with external suppliers and ensures the timely and effective resolution of website service requests
  • Supports management of organization-wide image/video media server, appropriately labelling and saving images submitted from all sources using Adobe Bridge; creates records of photo credits/permissions and licensing for special projects
  • Using project management tool, coordinates all Marketing and Communications team project schedules & deliverables related to Artscape events and projects, setting, reviewing and maintaining workflows to ensure projects stay on track and deliverables are met
  • Contributes to Marketing and Communications team meetings and planning sessions, as needed, to help achieve deliverables and measurable organizational outcomes
  • Develops surveys from time to time in Survey Monkey or other platform
  • Provides admin support on financial reconciliation in accordance with financial policies and budgets

QUALIFICATIONS:

Education & Experience

  • Completion of a relevant post-secondary certificate, diploma or degree program in journalism, communications, marketing, business administration or related fields preferred
  • Minimum three (2-3) years of professional experience in marketing and/or communications

Competencies

  • Strong familiarity with communications, public relations and social media planning and evaluation of campaigns and initiatives
  • Experience coordinating social media, newsletter and website content and posts
  • Knowledge of marketing concepts and practices, particularly event and membership marketing
  • Solid competency in measuring performance of digital communications, social media and websites
  • Excellent written and verbal communications skills with experience in writing marketing and communications related copy for a variety of audiences in web, social and print
  • Excellent organizational, administrative and time management skills; ability to meet deadlines, multi-task and prioritize, with superb attention to detail in a fast paced environment
  • Knowledge of editing and proofreading practices, Canadian Press style preferred
  • Team player with the ability to work well across diverse teams and communicate ideas effectively
  • Creative thinker who is always striving to improve

Technical

  • High proficiency with web and social media platforms including: WordPress, Mailchimp and Hootsuite/Meltwater Engage (or other social media monitoring software), Google AdWords and AdWords Express
  • Intermediate skills in MS Office Suite, Google Analytics, project management tools such as Asana, as well as working knowledge of Adobe Creative Cloud (particularly Photoshop, InDesign and Premiere Pro)
  • Experience with Facebook Pages / Facebook for Business account administration
  • Awareness of CASL, intellectual property laws, copyright, privacy, accessibility guidelines

Additional Assets

  • Practical knowledge and ability in photography and basic video creation/editing
  • Knowledge of or familiarity with video, GIFs and motion graphics production
  • WordPress website development experience and basic knowledge of HTML
  • Non-profit sector experience
  • Familiarity with Toronto’s professional and emerging arts communities
  • Demonstrated interest in arts administration and/or urban planning/development
